Choosing the Right Microsoft 365 License: Save Money Without Sacrificing Security

Tech Tip Friday | MooseDenIT

When running a small business, every dollar matters. Whether you have five employees or fifty, technology expenses can add up quickly.

One mistake businesses often make is purchasing the same Microsoft 365 license for every employee.

The truth is, not every employee needs the same tools, but every employee needs appropriate security.

Microsoft offers several licensing options designed for different business needs. Understanding those differences can help reduce unnecessary expenses while protecting your company's information.

Exchange Online Plan 1 When Email Is All You Need

Consider your maintenance team, housekeeping staff, or employees who primarily work away from a desk.

They may only need to check company email, receive schedules, or communicate with their supervisor.

Exchange Online Plan 1 provides:

  • Professional business email using your company's domain

  • A 50 GB mailbox

  • Access to email through a web browser

  • Email access through compatible mobile applications

For employees who don't need Word, Excel, Teams, or other Microsoft 365 collaboration tools, this can be a cost-effective option.

Best for: Email-only employees, maintenance personnel, housekeeping staff, and other roles with limited technology requirements.

Remember, email-only does not mean risk-free. These accounts still need multifactor authentication and appropriate security controls.

Microsoft 365 Business Basic Essential Tools Without Desktop Office

Business Basic is a great starting point for employees who need more than email but don't require locally installed Microsoft Office applications.

It includes:

  • Business email

  • Microsoft Teams, where included in the purchased plan

  • OneDrive cloud storage

  • SharePoint collaboration

  • Web and mobile versions of Word, Excel, and PowerPoint

Employees can create and edit documents through a web browser without needing the full desktop Office suite.

Best for: Employees who primarily work through a browser, collaborate online, and don't need installed Office applications.

Microsoft 365 Business Standard For Everyday Office Productivity

Business Standard builds on Business Basic by adding the installed desktop versions of Microsoft's productivity applications.

This is particularly useful for employees who spend their days working in Word, Excel, Outlook, and PowerPoint.

Best for: Administrative assistants, office personnel, and employees who regularly use desktop Office applications.

However, there's an important distinction: Business Standard provides excellent productivity tools, but it doesn't include all the advanced security and device management capabilities of Business Premium.

Microsoft 365 Business Premium My Preferred Choice for Business Protection

When advising businesses about Microsoft 365 licensing, Business Premium is frequently my preferred recommendation for employees who work with sensitive information or company-managed computers.

Why?

Because cybersecurity should be part of your technology investment, not an afterthought.

Business Premium includes the productivity capabilities of Business Standard, along with additional protections such as:

  • Microsoft Defender for Business: Advanced protection against malware, ransomware, and other endpoint threats.

  • Microsoft Intune: Management and security of company computers and mobile devices.

  • Microsoft Entra ID P1: Conditional Access policies that help control how employees sign in and access company resources.

  • Microsoft Defender for Office 365 Plan 1: Additional protection against malicious email links, attachments, and phishing attempts.

These tools help businesses take a more proactive approach to protecting company information.

Best for: Business owners, management, accounting and HR employees, and staff handling sensitive information or using company-managed devices.

Keep in mind that these protections must be properly configured to deliver their full value.

Should Every Employee Have Business Premium?

Not necessarily.

A housekeeping employee checking a schedule by email has different productivity requirements than an accounting manager processing financial information.

A business can often benefit from a mix of Microsoft 365 licenses.

The important thing is to evaluate each employee's actual needs, the information they can access, and the security protections required.

And don't overlook the security requirements of less expensive licenses. A compromised email account can still be used to impersonate an employee, send fraudulent messages, or target others within your organization.

The MooseDenIT Recommendation

Choose licenses based on employee needs, but never compromise on essential security.

The least expensive license isn't always the best value, and the most expensive license isn't always necessary.

At MooseDenIT, we believe small businesses deserve practical, affordable IT solutions without sacrificing security.

Whether you're setting up Microsoft 365 for the first time or reviewing an existing subscription, we can help you understand your options and identify opportunities to improve your setup.
